JOB SUMMARY
The HR Intern provides administrative and operational support to the People & Organisation (P&O) team. This position assists in daily HR functions such as recruitment coordination, employee data management, event planning, training logistics, and general HR administration. The intern will gain hands-on exposure to the full employee lifecycle while ensuring HR records, reports, and communications are handled professionally and confidentially.
SCOPE OF DUTIES:
Key Responsibilities in Recruitment:
· Post job advertisements and manage candidate applications.
· Schedule interviews and coordinate with candidates and hiring managers.
· Prepare interview materials and assist in candidate documentation.
· Support onboarding processes (employee file creation, orientation setup).
Key Responsibilities in HR Administration:
1. Maintain HR files and databases (physical and digital).
2. Support administrative functions such as filing, data entry, and correspondence.
3. Ensure the smooth operation and upkeep of office premises and facilities (e.g., HVAC, lighting, sanitation).
4. Coordinate repairs, maintenance schedules, and vendor management for building-related issues.
5. Track inventory of office supplies and ensure timely ordering and replenishment (stationery, cleaning supplies, etc.).
6. Provide day-to-day administrative support to the HR department, including calendar management, meeting coordination, and correspondence.
Key Responsibilities in Learning & Development:
1. Handle all logistical aspects of training programs, including participant registration, venue setup, catering (if needed), and other necessary arrangements.
2. Prepare materials or documentation for training sessions (e.g., handouts, slides, schedules).
3. Maintain accurate records of all training sessions attended by employees, including the type of training, date, trainer, and duration.
4. Issue certificates to employees who successfully complete training programs, ensuring that all records are filed for reference and compliance.
5. Track and compile relevant documentation for HRDF claims, including invoices, attendance sheets, and training reports.
6. After each training session, collect feedback from participants through surveys or direct conversations to gauge the effectiveness of the training.
7. Maintain a record of employees' current skills, certifications, and training history, ensuring that employees are developed in line with their career paths.
Key Responsibilities in Employee Engagement:
1. Assist in planning and executing company-wide events such as annual gatherings, team-building activities, holiday parties, employee appreciation events, and milestone celebrations (e.g., work anniversaries, birthdays).
2. Evaluate the effectiveness of engagement initiatives by collecting post-event feedback and assessing employee participation and satisfaction.
3. Assist in communication materials (emails, posters, announcements)

Pay: RM800.00 per month
