Jawatan Kosong Project Admin in Kemaman

Project Admin is responsible for providing full-spectrum administrative support throughout the life cycle of projects from initiation through completion. This includes maintaining documentation, coordinating communication among project team, and ensuring compliance with client and regulator’s document requirements.

Job Scope:

Project Documentation & Records Management:

• Maintain and organize project documentation including timesheets, progress reports, service reports, Service Requests (SR) /Purchase Orders (PO), variation orders and any supporting documents related to project files and close-out.
• Prepare comprehensive Summary of Claims (SOC) to support billing and invoicing processes in coordination with the finance and project teams.

Cost & Progress Tracking:

• Assist in tracking project budgets (expenses tracking).
• Support with preparation in providing information and data needed for monthly project report and updates.

Communication & Coordination:

• Act as liaison between project teams, internal departments and on-site manpower.
• Schedule and coordinate weekly operational meetings, minute taking and follow up on action items.

Compliance & Quality Assurance

• Ensure all documentation and activities are in compliance with client requirements, ISO standards, HSE guidelines, and company policies.
• Participate in audits and inspections as required.

Management Support

• Preparation of payroll related data by consolidating timesheets for project personnel, verifying attendance records and ensuring timely and accurate submission to the HR/Finance department for processing.
• Assist project and operations management with preparing project payroll forecasts in alignment with accrual planning to ensure accurate cost tracking and financial reporting.

Requirements:

• Certificates / Diploma in Office Management
• At least 2 years of experience as Project Admin / Operation in Oil and Gas sector
• Able to start work immediately/soonest possible will be an added advantage
• Computer literate especially Microsoft Office related program such as Microsoft Words, Excel, etc.
• File organization and database management

Job Types: Full-time, Contract
